Getting Started
Templates and Pay Elements
Create reusable email, offer, joining, and salary building blocks before operating workflows.
Email templates
Open Email templates and create templates used for employee, recruitment, and customer communication.
| Field | What it means |
|---|---|
| Template name | Internal label used to find the template. |
| Subject | Email subject line; insert supported dynamic variables when needed. |
| From name and reply-to | Sender identity and the inbox that receives replies. |
| Body | The formatted message content. Use the variable picker rather than typing merge tokens manually. |
| Attachments | Files sent with every use of this template. |
| Category/status | The workflow group and whether the template can be selected. |
Preview with a test recipient. Dynamic variables are replaced only when their source record has a value.
Offer and joining documents
Open Document templates. Create an offer-letter template and a joining-letter template separately.
| Field | What it means |
|---|---|
| Template name and document type | Internal name and category, such as Offer Letter or Joining Letter. |
| Subject/title | The document heading shown to the recipient. |
| Content | The document body. Insert employee, job, salary, organization, and date variables through the variable picker. |
| Signatory and signature | The authorized signer and signature block. |
| Effective/expiry date | Optional validity period for the template. |
| Visibility/assignment | Who can generate, view, or receive the document. |
Pay elements
Open Payroll → Elements and create each earning, deduction, reimbursement, or employer contribution once.
| Field | What it means |
|---|---|
| Element name and code | A clear label and unique payroll identifier. |
| Type | Earning, deduction, reimbursement, contribution, or other available classification. |
| Calculation method | Fixed amount, percentage, formula, or manual input. |
| Value/base | The amount, rate, or salary base used for calculation. |
| Frequency | Monthly, annual, one-time, or the frequency available in your payroll policy. |
| Tax/statutory treatment | Whether the element is taxable, exempt, or included in a statutory calculation. |
| Pro-rata, arrears, and active status | Whether it changes for partial periods, applies to arrears, and is available for use. |
Add only validated elements to a salary template. Changing an active element can affect future payroll calculations, so use an effective date or a new element when historical treatment must stay unchanged.
